Managed Print Services solutions aren't just for businesses. Other organizations looking to streamline printing, while controlling costs can also benefit. Working with a Managed Print Services provider can make a significant impact in any industry, including school districts.

In this post, watch the story of Hudson (Wisconsin) School District, which overcame its print challenges after working with Marco as its Managed Print Services provider.

Hudson School District's Situation

The city of Hudson, Wisconsin, is generally considered the eastern-most portion of Minnesota's Twin Cities metropolitan area. It's just a short distance over the Wisconsin/Minnesota border. The school district is the fastest-growing primary education entity in Wisconsin, with six elementary schools, one middle school and one high school serving a population of 5,000 students.

Print-Related Challenges

The Hudson School District IT department faced the difficult prospect of managing every printer and copier located within the district's eight schools—that's a lot to take on. Nancy Toll, technology coordinator for Hudson School District, was concerned about the district's ability to effectively manage their current print environment.

Most teachers in the district had a local printer at their desk, which helped create an expensive print environment. Overall, the district's fleet of printers was difficult to manage and maintain.

Managed Print Solutions

The first step in the evaluation process was completing a print technology assessment with district IT representatives to inventory the fleet of printers and copiers currently in use by the district's eight schools. School district officials were then able to see how those copiers and printers could be replaced with multifunction printers that offer copy, scan and print services to the same number of staff members while using fewer machines.

Centralized Print Environment

This led to an immediate transition from the district's decentralized, multiple-unit environment to one that was centralized around fewer multifunction devices. It gave district IT staff greater control over print costs without sacrificing the level of service that teachers, administrators and other staff members were accustomed too.

New Software Implemented

Software solutions were introduced, allowing the district to track usage by individual staff members and by machines. The district also found it easier, less expensive and more environmentally friendly to scan, store and manage the thousands of documents used in its schools on a weekly basis.

Results of Managed Print Services

The scanning function of the school district's new multifunction print devices made it easier for district officials to create a single document, scan and share it with any employee in the district. Rather than producing hard copies of a document, district staff can easily share digital documents between teachers, administrators and other staff members. This simple change saves them time, paper and supplies.

Additionally, district officials began scanning and storing digital versions of all hard copy documents from each school in the district. The managed print solution adopted by the schools allowed the district to begin scanning paper copies of older files and saving them as digital files instead. This saved the district additional money, not just on print supplies, but on physical storage space, as well.

Individual teachers were also allowed to scan and store research materials using multifunction print devices. Not only did this save additional money within the district, it streamlined the process of creating and storing documents used for coursework.

A Successful Managed Print Solution

With a Managed Print Services solution in place, the Hudson School District now enjoys a more streamlined and affordable print environment. Teachers, administrators and staff have access to all the same print and copy services they did before, with the added benefit of better cost control and modern, digital storage options. This effectively streamlined documentation within each of the district's eight schools.

Hudson School District's experience with Managed Print Services offers a perfect example of the many ways managed print solutions can benefit schools.
