You Said Yes to Managed Print Services. Now What?

You Said Yes to Managed Print Services. Now What?

So You Said Yes to Managed Print Services. Now What? So, you've decided to switch your business print environment to Managed Print Services? Congratulations! Once you’ve signed a contract with your chosen provider, you may be wondering what comes next. What happens now depends on the specifics of your business and your print environment. To simplify things, let's look at how the service differs based on number of devices...

Less Than 50 Devices

If you run a business that requires the use of less than 50 devices, here's what you can expect:

Workflow Optimization

Our service technicians will come to your office to assess and relocate devices to optimize workflow. During this process, they will also add any new devices that may be necessary to provide you optimal print efficiency. And, any underperforming devices will be replaced. During workflow optimization, our service technicians are preparing your organization with a fleet of devices optimized for your print environment.

Employee Training

To prepare your employees for your newly optimized print environment, some training is required. We'll teach your administrators the advanced functionality for configuration, permissions and any new processes.

Dedicated Client Care Team

At this point, your business should be ready and able to use all of the devices in your managed print services contract. However, we understand that it might take some time to acclimate to these changes. That's why we provide a client care team that will provide support and ensure that you understand how to use each of the devices. An additional benefit of our client care team is taking the workload off your internal resources. We are here throughout the life of your contract to answer questions and support your users.

More Than 50 Devices

This larger print environment requires a more thorough assessment. When your business requires more than 50 devices, a project management team will be assigned before the contract is initiated. This team will perform a device discovery in which they will label and map your devices, and collect print data. The purpose of this discovery is to help determine both how devices are being used currently, and how best to optimize your print environment moving forward.

An Agreement that is Uniquely Yours

Every organization is different. Different businesses have different needs – which is where our inside account team comes in. This team works with you to document your business printing and equipment configuration and develop a custom agreement that fits you best.

A Team from the Start

We want you to know exactly who’s supporting your users and your print environment. We'll also review the list of supported devices, where they'll be located in your office, which equipment contains tracking software, and provide initial instruction and training. We’ll also discuss our supply automation process and introduce you to your dedicated Client Care representative.

Your Dedicated Client Care Representative

For businesses that have more than 50 devices, we assign a dedicated client care representative. This means that no matter what issue crops up, you'll contact the same person – a person that knows your organization and its print environment – rather than being passed off to a variety of different representatives.

Routine Conference Calls

For the first 6-8 weeks after your devices are installed, we’ll host routine conference calls. These are done to confirm everything is working properly, and to ensure your business experiences a smooth transition into your newly optimized print environment.

Different Routes, Same Results

Regardless of your company’s size, our team is ready to assist you and ensure that you receive the highest quality print services that align with your organization’s needs.
