Q: If the widget purpose is to show documents, what happens when the document count grows to more than 50 can you make sub-views? 

A: The Hubshare widget doesn’t follow the 50-object count limitation under the relationship tree like in the M-Files client. They would just see more pages available to navigate through to see more documents.

 

Q: Could there ever be a change conflict? Aka - both parties editing the same document?

So if hub configuration allows for edit of document or metadata how are conflicts avoided/handled?  i.e. M-Files user is editing record same time as external Hubshare user is.

A: In the current state this isn’t an issue because users cannot edit documents directly in the Hubshare interface. They must download the document and then upload the edited document against the current version. If a Hubshare user tried to upload a document against a document that happened to be checked out in M-Files they would get an error message and would not be able to complete the upload. In regard to viewing the document if a user is editing the document in M-Files they Hubshare user will see the latest version which is not checked out for edits just like when a user opens a checked out document in M-Files.

 

If the user is editing metadata it would essentially be the same as if 2 people were trying to edit the metadata within the M-Files client. Whoever hit save 2nd would get an error that a new version exists. In Hubshare they wouldn’t see the new version error but rather get an error which would force them to refresh the widget and retry modifying the metadata.

Same situation the person editing the metadata could check the document/object out first then it would essentially lock anyone out of editing the metadata until they check it in.

 

Q: Is there some form of communication between internal users and external users? Example: specific types of documents you are looking for the external user to upload?  Clarification: If I want a customer to upload a driver’s license can I specify that to them externally through hubshare that I am looking for that.

A: This can be done either through the use of M-File’s notifications or you could use the social module of Hubshare to send chats/posts to specific users/groups.

 

Q: Can Hubshare connect to other data sources? (or is M-Files the only option)

A: Currently the extensible widget only connects to M-Files or iManage. However, the custom content widget can be used to connect to other applications to display content. The custom content widget is a blank slate in which static text, HTML, and/or JavaScript can be added to in order to get the customization needed. If more complex integration is needed Hubshare does have APIs to be able to create your own widget.

 

Q: Can Hubshare users create objects?

A: Yes, this right can be granted.

 

Q: Does Hubshare require special software installed on the M-Files server?

A: No software is needed on the M-Files server.  Just a license for the integration which is installed as a vault application.

 

Q: Can external users input information which is then edited by an internal user?

A: Yes, this is possible.

 

Q: Would the external users only have permissions to input new information and not be able to change what exists?

A: Every property of an object can either be set as read-only, or alternatively, allowed to be edited.

 

Q: Is there a method for them to communicate with Q&A?

A:  You can use the social module of Hubshare to send chats/posts to specific users/groups.

Q:  What is an object?

A:  An object can be either a document or a non-document object.  We looked at both during the webinar.  We most commonly refer to non-document objects as “DATA OBJECTS”.  The user guide will provide details around this.
