MANAGED PRINT SERVICES

MANAGED PRINT SOLUTION SAVES ST. CLOUD ORTHOPEDICS OVER $2,000 A YEAR

IT Director Jeff Duclos had the expertise and training to maintain printers for St. Cloud Orthopedics. But it often competed with his need to also manage the medical group’s 200 work stations. It also distracted him from focusing on the development and integration of new technology like a new medical imaging and communication system.

“I was trying to work on them myself, but it gets to a point where you can’t keep up with the technology,” Duclos said. “When you’re not working on printers every day, you lose your ability quickly.”

The Solution

A move to Managed Print Services with Marco means the medical group’s two-person IT staff no longer worries about servicing printers – or even replacing toner. “With a small IT department like we have, it makes more sense to do it this way,” Duclos said. “It saves a lot of time.”

Using automated managed print software, Marco remotely monitors toner levels and automatically sends toner to St. Cloud Orthopedics before the toner runs out. This automated functionality also signals potential service issues, which can be resolved before the staff at
St. Cloud Orthopedics even notices.

That’s particularly valuable for the team in medical records that produces a high volume of prints each day and demands consistent up-time. “It gives you peace of mind,” Duclos said. “You know you have certified technicians working on the equipment and the cost per print is a lot lower.”

When an unexpected issue arises, St. Cloud Orthopedics calls Marco’s dedicated help desk and knows it will be resolved quickly. “It’s something you do not have to worry about,” Duclos said. “You place the call and you know it’s going to be taken care of.”

Before St. Cloud Orthopedics moved to Managed Print Services, Greg Gau, technology advisor for Marco, provided an on-site evaluation of the medical group’s printing needs and created a customized analysis with the number, type and placement of printers designed to optimize overall performance at the medical facility. Beyond the IT staff savings, using managed services saves St. Cloud Orthopedics more than $2,250 in annual costs.

That’s just the beginning. Duclos gets a scorecard every six months through Marco’s recurring business review and comprehensive reporting system. St. Cloud Orthopedics reviews a series of performance metrics on everything from percent of usage to color utilization for each device.

Gau then works with St. Cloud Orthopedics to identify any opportunities to enhance print performance. “Greg is very knowledgeable,” Duclos said. “He has some good ideas and tries to make everything better and cheaper.”
